At the heart of ShareDo’s work management platform is the ability to create your own work-types (also known as ‘custom objects’) with the work-type modeller. This functionality provides businesses with the freedom to quickly build and manage a custom solution for their unique needs and circumstances.

How it works

Efficiently Manage Diverse and nuanced Work Types at scale

In an enterprise work management system, there are often hundreds of different work types, from large projects like cases, to smaller tasks like contract approvals. Each work type has unique attributes, stages, people involved, and workflows, leading to complex configurations.


ShareDo simplifies this challenge with a work-type tree hierarchy that uses an inheritance-based model.

You first define base work types, and then create nested work-types for specific needs that inherit the parent’s setting. This makes creating, testing, and updating an enterprise configuration much easier because changes in a parent work-type applies to all of its nested children.

To significantly speed-up delivery and implementation, the ShareDo system comes with many of the common legal, claims, and incident management work-types having been pre-built. You are free to modify these as necessary, or even create entirely new work-types, as you see fit.

Phase Plans, tasks & Work items

Phases act as a high level overview of the case progress, allowing for greater consistency of process and effective reporting.

Every work-type, whether unpredictable or process-driven, has a start, an end, and stages in between. With ShareDo you can break work-types down into phases and key dates, where each phase has a number of tasks or data capture that must be completed before moving to the next stage.

Break complex tasks down into mini-tasks

Many tasks are not completed in a single step. That’s why tasks can also be broken down further into mini-tasks – what we call work items.

Work items can have their own phases, key dates, owner, documents, participants, and more – allowing for an unlimited degree of compartmentalisation.

For example – one task in a phase may be to prepare a document. That process might involve, drafting, internal review, send to 3rd parties for approval, receiving client approval, send to client for signature, signature received, document is filed.

Note how each one of these mini-tasks might have a different task owner – allowing you to ensure the right task is matched to the right person, maximising fee earner utilisation and profitability.

Track All case related Tasks with Work Item Lists

In ShareDo, each case has its own file, or “container,” that holds all information about the case. This container includes all completed and future tasks related to the file.

That’s important because work-item lists let anyone see all upcoming tasks, not just their own, even if they are new to the file.

ShareDo is much more than a to-do list / task manager. In addition to guiding users with what to do next, it also allows them to do it all from within our platform  – even if the task involves other software – turning ShareDo into a centralised Hub for your entire business.



When configuring work-types, you will describe the types of participants involved. These may be internal users, 3rd parties, medical experts, witnesses, or even objects like vehicles.

The system displays the participants and their roles, making it easy for users to identify the key parties.

ShareDo can also control activities based on participants – for example a document based on a defendant participant can never be sent to the claimant in error.

Finally – participants can be grouped into teams and organisations, to allow for team-based work allocations.


ShareDo lets you further categorise participants for better organisation and control. This flexible system allows you to conduct detailed searches, like finding medical experts closest to the client’s home address. It also enables you to target specific forms to certain participant types, set permissions for managing these types, and restrict roles to tags.


All participant data is held within an Operational Data Store (ODS). This ODS can be synchronised with other data sources (PMS,CRM, or HR systems etc) which means that there is a single source of truth for your data at all times


Visualise the timeline of events on a case

ShareDo’s Chronology feature provides a visual timeline that shows every action on a case, including calls, meetings, documents, emails, and tasks. Extensive filters allow you to refine your view, like only seeing documents from a specific month.

This digital timeline replaces traditional paper files, offering easy sorting and review from any device.

The Chronology can be customised with options to configure Points of Interest (POI), disable handlers and tailor business audit entries.

The Chronology can even be provided to the client on their own portal, with the ability to choose which parts of the timeline is available to be seen by external parties.

Access DOCUMENTS, TASKS, Notes and More directly from the chronology

Users can click on any items displayed in the chronology to reveal its full details. From the blade that opens, further actions can be taken, saving users from having to constantly reload their screen to fulfill their role.

Record all financial data within the work item

ShareDo has a financial framework that allows for recording time, payment requests, offers, budgets, fees, settlements, and more – all customisable as required for each work-type.

Our API also allows you to seamlessly integrate this data with best of breed Practice Management Systems (PMS).


Is there any cost involved to creating new custom work-types, work-items or participants?

No – all of this functionality is included within the ShareDo subscription. Infact, there is no feature gating of any kind.

The ShareDo platform is built on a no-code basis. This means that Business Analysts and even Process Specialists (like Fee Earners for a law firm) are perfectly able to design the custom work types and its associated phases and processes without any assistance from a developer.

How long is a piece of string. We have had large businesses up and running in as little as 10 weeks. This entirely depends on the scope of your project, how much of our solution accelerators you wish to use and/or change, your internal resources and/or your appetite to involve our project team.
